Currently, the GATE Institute is looking for a Personal Assistant to the Director.
Main responsibilities
- Taking ownership of the Director’s diary and arranging meetings and appointments

Dealing with bookings for travel and accommodation arrangements for the Director and the office and ensure they are booked in accordance to the policy.

Taking minutes, writing letters/correspondence.

Being a first point of contact for all visitors and callers for the Director, efficiently handling calls and passing on messages, meeting and greeting associates and visitors, providing a welcome reflective of the Institute brand.

Researching, collating and analysing information to prepare timely reports, papers and presentations.

Dealing with incoming and outgoing correspondence for the Director and the rest of the office; including mail, emails, scan copies and any other related incoming and outgoing admin and correspondence.

Creating and maintaining efficient data management and filing systems.

Ensuring that the Director and the office are well prepared for meetings and appointments.

Assisting the Director with the internal accounting and bookkeeping.

Liaising with the Finance function, assisting with suppliers and invoicing.
Requirements
The ideal candidate for the role will understand the importance of professionalism and delivering a quality service both internally and externally and will have a minimum of 3-4 years of experience within a personal, office or team assistant role.
In addition, the Personal Assistant should:

Be self-motivated with a results-driven approach and high attention to detail.

Have a positive, helpful personality, with proven ability to provide excellent administrative service to both internal team members and external contacts.

Be willing to work with a small, busy team and deliver within deadlines.

Have excellent telephone manner and written communication skills in both English and Bulgarian.

Punctuality and professionalism is expected

Demonstrate excellent knowledge of Microsoft Office package
